The Department has adopted the UT sponsored on-line buying service called TXShop as a replacement for the manual, paper-based purchase and billing system we have been using through the storerooms and analytical shops.  The change will improve departmental sales accuracy and reliability, but it is being driven primarily by the mandatory retirement of our obsolete reporting and inventory software, CMReports and TXInventory.


IMPORTANT:  This change only pertains to the way you purchase the goods and services.  The way you submit samples and receive analyses, interact with the shops, and pick up merchandise is almost completely unchanged.  Also, wherever you have needed user IDs, passwords, training, checkouts on instruments, whatever—you will still need them going forward and will get them in the same way as before.


Department Sales Moving to TXShop

The following merchandise and services are now offered on TXShop.  The full selection is available in Welch Hall with a reduced selection in NHB.

  • Ethanol
  • Department-owned cylinder gases
  • Dry ice (for administrative use only)
  • X-Ray analysis
  • EPR analysis
  • NMR analysis (for administrative use only)


Note that for now Mass Spec, Machine Shop, Glass Shop and IDR services are not included on TXShop.  We anticipate adding them at some point or instituting a separate billing system for those services.


You do not need to be a member of the department to purchase these items with the exception of cylinder gases, but you must be registered to use the site.  As in the past all purchases must be by interdepartmental transfer (IDT) of funds, and you will be required to enter an authorized account number during purchases.  There will be no cash or credit card sales.


How Do I Start?

The following URL is the link to the TXShop home page:  http://utdirect.utexas.edu/txshop/index.WBX.  Once there look down the list of shops for the Chemistry & Biochemistry Shop Logo:



Click on the logo and enter the site with your normal UT EID and password.  During your first purchase ONLY, you will be required to fill out a registration form which will establish your personal profile.  You may update your profile at any time.  When registering enter your UT contact information including your University address—you do not need secondary addresses. 


PLEASE NOTE:  because of a programming glitch DO NOT ENTER A UNIVERSITY MAIL CODE—leave it blank.


Merchandise Purchases

From the initial page click on the purchase category you want and make your selections.  You will be presented a receipt when you check out.  Then go to the storeroom in WEL or NHB and pick up your items as you have done in the past.  For accountability purposes, you will need to present a print out of your receipt to pick up Ethanol and exchange cylinders.  Also, please remember YOU MUST BE A MEMBER OF THE CHEMISTRY & BIOCHEMISTRY DEPARTMENT TO UTILIZE OUR CYLINDER GAS SERVICE.


One feature of TXShop is that it will tell you if the storerooms are out of stock which will save you a trip.  Also, for cylinder customers you can purchase a new tank from your lab, take your empty to the storeroom and pick up the fresh tank in only one trip.


Analytical Services Purchases

NMR Analysis

 

Your lab will be billed montly for NMR instrument time.

X-Ray Analysis


Go to the category page you want and make your selection.  There are three modes of service for X-Ray analysis and three different rates.

  1. Staff Operated Single Crystal Structure.  Do not buy service in advance.  FIRST submit your sample to the X-Ray lab as usual and wait for your results.  Your structure will have an invoice attached for the work performed, usually the flat rate of $150 per structure.  THEN log on to TXShop and purchase the amount of service indicated on the invoice.
  2. Self-service.  Select the instrument you want and click on the photo to open the schedule calendar.  Enter the amount of time you choose for your session in 1 hour or 1 day increments.  After use of the instrument, THEN log onto TXShop in the lab and purchase the amount of time you used.

EPR Analysis


Go to the category page and select the self-service mode.  Click on the photo to open the schedule calendar.  Schedule the block of time you choose for your session, but do not purchase time in advance.  The machine time you accrue during your session will be recorded by the instrument and reported to you by the technician.   THEN log onto TXShop in the lab and purchase the amount of time you used.


Checkout

For each type of transaction, you will end at the checkout page which will show you your itemized bill.  Select “Checkout UT EID” which is the only option.   On your first use, you will see the registration form.  Your profile will be saved for future sessions, and you will have the option to update your profile if needed.  Then select the option “Purchase for Myself.”  [Note that TXShop offers the option to check out using someone else’s UT EID.  This option may be used, for example, for staff assistants who are purchasing items for their groups.  PIs who desire this option must notify Danielle Chiselbrook.]


After selecting Purchase for Myself you will see an Order Summary.  At the bottom of the page are the “payment options.”  Select “IDT” which is the only option, and enter your ten-digit UT account number WITHOUT hyphens.  Click on “Pay” and you will see a receipt.  Keep this receipt for your records if you wish, but do print a copy for the storeroom if your purchase includes Ethanol.  You will also receive an email from TXShop recording your purchase.  At the end of the month, your PI will receive a full report of all TXShop purchases and who made them.


Final Note

You may be aware that the Center for Electrochemistry, CNM, ICMB, SBS, are among many that are already using TXShop to sell merchandise, analytical services, and instrument time; and some of you are already using it for those organizations.  We believe TXShop will greatly increase the accuracy, accountability and reporting of our Department transactions as it is already doing for them.


Users have always had the responsibility to enter the details of a transaction on sample submission forms, calendar reservations, and paper purchase slips.  These handwritten paper records have often required interpretation and corrections by shop personnel or office staff to get IDT’s properly made.  Instead TXShop will create IDT’s directly from your entries and enter them into *DEFINE, UT’s financial accounting system.  Department procurement staff will still be required to check and approve each transaction, but this will help eliminate the guesswork and clerical errors.  Finally, shop staff will still have the ability to cross check our records with your consumption of goods and services to make sure you get what you pay for.  And TXShop will provide monthly reports of all purchases made.  PI’s can be confident UT has built into TXShop the features for accurate and reliable financial transactions.
